As part of the RM1501 Lot One Framework, The Health and Safety Executive (HSE) was undertaking a number of property events over an estimated three year period which would require the supply, delivery and installation of furniture and associated services, including space planning and the offer of 2D or 3D plans and site surveys where appropriate.
HSE was looking for a supplier who could successfully provide a one-stop-shop approach to the design, consultancy, delivery, project management and supply of all its furniture requirements. Storage audit services were also required, to recommend options for the HSE to consider.

We worked with the client to establish a standard core list of products to launch on their internal procurement system, as well as a specialist seating catalogue for use by their third party occupational health care providers. This helped to minimise the choice of a few carefully selected options and increase the potential benefits from reducing procurement cost and product churn. We also supported this catalogue launch with the training of all relevant occupational health staff, and on-site display screen equipment (DSE) assessors to understand the use, application and specification of the products within.
Flexiform began work on one of the HSE’s six-story offices in Edinburgh and quickly progressed to undertaking two to three large national projects a year. We have continued to modernise the environments, offering new and updated products throughout the course of the contract, as well as additional environmentally-friendly clearance services, site surveys, and planning of potential relocation space to help with any decisions to move. The contract was renewed in 2013 for a further four years.
At the time of the award, the client was using a third party space planning and interior design company to help with the planning of the new office space, as well as the reconfiguration of existing offices. We worked extensively with the senior estate’s management team to develop a new modern and practical interior design package, including a series of standard practices, audits and guidelines to help in the implementation of all office moves, from the planning stages right down to local user group level. This also included four new corporate interior design colour pallets for walls, floors, kitchens, and furniture selections. These features were supplied as part of our service package, at no additional costs.
Flexiform has worked with the HSE on numerous projects throughout the contract, at various locations. The photos shown in this case study are from the Edinburgh installation. During each project, a variety of bespoke products have been made for the HSE, including side-to-side desking with the back of the desk cut to suit a zig-zag configuration of screens. Our UK factory allows us to create different solutions for our client’s needs as required.
